Invoice in Purchase and Invoice in Sale check-boxes

The “Invoice” tab is hidden by default.

If you need to use it often, enable the desired check-boxes. The “Invoice” tab does not initiate the register transactions, but is more of an informational tab. You can copy the items from the “Invoice” tab: use the menu item “Copy to Delivery” or “Copy from Invoice” depending on a tab you are in. The "Invoice" also has its own print form. If you use this tab only from time to time, you can disable the feature in the settings and use the check-box "Show invoice" in the "Details" tab of the "Purchase" and "Sale" documents when needed.

Stockroom by default

You can also preset “stockroom by default”, e.g. a value of the “Stockroom” field, that is selected in the corresponding field of a new “Purchase” or “Sale” document.

Print details

Company name

Stores a company name that is used in print forms.

Address

Stores a company address that is used in print forms.

Phone(s)

Stores a company phone number(s) that is used in print forms.

Backup & restore

Create a backup

Starts a database backup procedure.

Restore backup

Starts a database restore procedure.

Backup location

Specifies the path where to save an archive file (please note, that if you specify the path .../Android/data/com.bizakk.salesman/files/backups,

then, when uninstalling the program, that folder will be also removed, so be sure to choose another path, for example, simply .../salesman/files/backups).

Number of backups

Specifies the maximum number of the archive files, after which the files start to rotate (a new file replaces the oldest one).

Backup on exit check-box

This check-box enables an automatic backup when exiting the program.

Export & Import

Besides creating backups, user can export and import references in the CSV (Comma Separated Values) file format. CSV file can be edited either in text editor or in electronic spreadsheet. Please note, that if your field values contain commas, these values must be double quoted. Also user can not change reference's file name or it's structure. The structure must be the same as described in chapter References. Please, consider this when edit the data. The names of CSV files are:

  • ref_item.csv — “Items” reference
  • ref_counterpart.csv — “Counterparts” reference
  • ref_stockroom.csv — “Stockrooms” reference
  • ref_price_type.csv — “Selling Prices” reference

Export

Starts an export procedure.

Select references you need to export and tap Export.

Import

Starts an import procedure. The import procedure runs in “synchronization” mode. It means:

  • if an import file contains the record that has the same identifier (the value of the column “_id”) as a database record, the database record will be replaced with the one from the import file
  • if an import file contains the record that has no “_id” (an empty value of the column “_id”), the record will be added to a database as a new one, even if there is a record (records) with the same value of the “Name” field

So, be very attentive when import procedures provide. To avoid duplicating the records do the full cycle every time. For example:

  • perform the export (upload) procedure of a reference (references)
  • edit the data using a spreadsheet or any text editor (do not change the “_id” field value)
  • add new records (leave the “_id” field empty)
  • place the edited CSV files to the import directory
  • perform the import (download) procedure of a reference (references)

Please note, that a backup file also contains the references along with the documents. That is why, if you restore the data from the backup file that was created before your last import procedure, all the changes in the references will be lost. To avoid this, create one more backup file after the import procedure.

Export path

Specifies the path where to export the references CSV files (please note, that if you specify the path .../Android/data/com.bizakk.salesman/files/export,

then, when uninstalling the program, that folder will be also removed. So, if you want to avoid deleting, be sure to choose another path, for example, simply .../salesman/files/export).

Import path

Specifies the path where the importing references CSV files to be placed (please note, that if you specify the path .../Android/data/com.bizakk.salesman/files/import,

then, when uninstalling the program, that folder will be also removed. So, if you want to avoid deleting, be sure to choose another path, for example, simply .../salesman/files/import).

Moving the records between folders in hierarchical references

If the reference has a hierarchical structure, the export/import procedure can be used to move it's records from one folder to another. The algorythm is:

  • perform the export (upload) procedure of a reference (references)
  • open a CSV file in electronic spreadsheet
  • find and copy to the clipboard the value of the “_id” field of the folder, where the record must be placed
  • paste this value to “parent” field of the record, you want to move
  • place the edited CSV files to the import directory
  • perform the import (download) procedure

Registers

Update transaction

Performs the renewing of the document transactions (double-entries) in case there were the backdating corrections in the Purchase documents that led to incorrect cost of goods.

Show transactions

If you enable the "Register actions" box, a corresponding item will appear in the context menu of journals.

Other

Welcome assistant check-box

If you enable "Welcome assistant" check-box, a corresponding window will appear when you start the program. If the box is disabled, the window will not appear.

Backup loss warning check-box

When you uninstall (delete) the application, all files inside the folder .../Android/data/com.bizakk.salesman/... will be deleted too. So, if you specify the path where to save backup files as .../Android/data/com.bizakk.salesman/files/backups, your archive files will be deleted when you uninstall Salesman. When the check-box is enabled, you will see a warning in case of saving backup files inside .../Android/data/com.bizakk.salesman/... If the check-box is disabled the warning will not appear.

If the check-box enabled the deleted elements in journals and references are visible.

Send log

The program has an events log, that is used by developers to fix bugs. To send the log, just choose "Send log" in the Main Window menu. You can help our project, if you do this when any bug occurs. Though you should do it right after a bug appears, because the log rotates, and the information on the bug can be lost. Please note, that you need the Internet connection configured on your device.
