References

There are four references in the program:

  • "Items" — the hierarchical reference that stores items of goods and services
  • "Counterparts" — the hierarchical reference that stores information on companies and persons
  • "Stockrooms" — the hierarchical reference that contains a list of places where goods are kept
  • "Selling prices" — the reference with price categories and methods of their calculation

To enter a reference, tap "References" in the Main Window and select a desired one.

Items

Structure

Operating the Reference

Taking into account that the "Items" reference is a hierarchical tabular form, all typical control form elements are available: the menu items (and control buttons) of "Settings”, “Filter”, “Create a new group”, “Hierarchy”, and adding a new element ("+").

Adding a New Element

To add a new item, use the "+" button. It is situated in the top right corner of the screen.

Tap it and the Items dialogue window will appear on the screen.

  • "Name" — an obligatory field; cannot be empty
  • "Service" — an informational field; if the check-box is enabled, an item is processed as a service. The order of accounting is considered lower in "Good or Service? What Is the Difference"
  • "SKU" — a bar code; an optional field
  • "Purchasing Price" — stores a corresponding value; is used to calculate the selling prices with the algorithm: Selling price = Purchasing price * coefficient. The selling prices and coefficients are stored in the "Selling Prices" reference
  • "Package" — an informational field; contains the number of units in a package
  • "Autocomplete" — calculates the selling prices automatically according to the described algorithm. To use this feature, add at least one selling price and a coefficient

Tap "ОК" to save an element. "Cancel" closes the dialogue window without saving.

Good or Service? What Is the Difference

When do you need to set the "Service" flag on? What is the processing order of these elements? The differences are the following:

  1. Services are not displayed in the Item Selection Table of the "Purchase" and "Relocation" documents. It means that you cannot record a service as a received article. So if you purchase some services to retail them in the future, clear the “Service” check-box for this kind of items and process them as goods.
  2. In the "Sale" document services are processed as goods (it means that you can set quantity, price and amount), but in the Accounting Register only the Amount field is stored.
  3. In "Item Operation List" and "Stock Turnover Sheet" services are not displayed, because the quantity and cost are absent.
  4. The "Debts" and "Trading, Profit and Loss Account" reports contain the amounts from sales of services.
  5. In the "Sales" report the columns "Cost of Goods Sold" and "Margin of Sales" are not useful, because the cost of services is zero.

Context Menu & sorting

The context menu can be called by long tapping a reference element. It has two options:

  • "Edit" — edit a selected element
  • "Delete" or "Undelete" — depends on the status of a selected element

Please note, that to edit an element you can also short tap on it.

Sorting can be performed by any column.

  • "Address" — an informational (optional) field
  • "Phone" — an informational (optional) field

Tap "ОК" to save an element. "Cancel" closes the dialogue window without saving.

Context menu & sorting

The context menu in the "Counterparts" reference is the same as in "Items".

Sorting can be performed by any column.

Stockrooms

Operating the Reference

The reference contains the types of selling prices and corresponding coefficients. After adding this information to the reference, you can calculate the selling prices with the algorithm: Selling price = Purchasing price (is stored in the "Items" reference) * coefficient. To do this, go to the "Items" reference and tap “Autocomplete” for every item.

The reference is not hierarchical. The elements can NOT be grouped.

The available form control tools are the menu (and form control buttons) of: “Settings”, “Filter” and adding a new element "+".

  • "Multiplier" — an optional field; add in case, if you use automatic calculating of prices.
